INFORMATION CLAUSE ON THE PROCESSING OF PERSONAL DATA
of participants in the scientific conference: “Gastronomy Unexplored: Integrating Science, Art and Culture in Culinary Innovation” held on 2–3 September 2025 at the VIZJA University, Okopowa Street 59, 01-043 Warsaw, Poland (hereinafter referred to as the “Conference”)
In accordance with the provisions of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation, “GDPR”),
Andrzej Frycz Modrzewski Krakow University informs you that:
I. The controller of your personal data is Andrzej Frycz Modrzewski Krakow University, located at ul. Gustawa Herlinga-Grudzińskiego 1, 30-705 Kraków (“Controller”). You may contact the Controller via e-mail at: iodo@uafm.edu.pl. Website: www.uafm.edu.pl
II. Your personal data, including your image, will be processed for the purpose of registration and participation in the scientific conference “Gastronomy Unexplored: Integrating Science, Art and Culture in Culinary Innovation,” as well as for informational and promotional purposes related to the activities of the Controller and the co-organisers indicated in Section V. This includes the publication of photo reports and video recordings on the websites of the Controller and co-organisers, and on social media platforms, particularly Facebook, Instagram, Twitter, LinkedIn, and YouTube managed by the Controller and co-organisers.
III. The legal basis for processing your personal data as described in Section II is:
a) Article 6(1)(f) of the GDPR – processing necessary for the purposes of the legitimate interests pursued by the Controller;
b) Article 6(1)(f) of the GDPR in conjunction with the Act of 20 July 2018 – Law on Higher Education and Science, insofar as processing is necessary to perform a task carried out in the public interest or in the exercise of official authority vested in the Controller, in line with the mission of the higher education and science system in the fields of education, scientific activity, civic education, social development, and building an innovation-based economy;
c) Article 6(1)(c) of the GDPR – processing necessary for compliance with a legal obligation to which the Controller is subject;
d) Article 6(1)(a) of the GDPR – where you have given consent for the dissemination of your image, in cases beyond those specified in Article 81(2)(2) of the Act of 4 February 1994 on Copyright and Related Rights.
IV. Providing your personal data is voluntary, but necessary for participation in the Conference and to fulfil a task carried out in the public interest, namely the organisation of the Conference.
V. Your personal data may be disclosed or made available only to entities authorised by law or based on appropriate agreements concluded by the Controller. In particular, your data may be shared with the co-organisers: VIZJA University, International Society for Gastronomic Sciences and Studies and the Polish Society of Food Technologists.
VI. Your personal data will be stored for the time necessary to achieve the purposes referred to in Section II. Where required by law, your data may be processed for the period necessary to establish and pursue any claims. If you give consent to the dissemination of your image, your data will be processed until the consent is withdrawn.
VII. You have the right to access your data, rectify it, restrict its processing, transfer it, and object to its processing – in the cases and under the conditions set out in the GDPR.
VIII. Your personal data, including your image, will not be transferred to international organisations and will not be subject to profiling. You have the right to withdraw your consent at any time, without affecting the lawfulness of processing based on consent before its withdrawal.

IX. Your personal data, including your image, may be transferred to a third country in connection with the live online broadcast of the Conference, i.e. via electronic means of communication.
X. You have the right to lodge a complaint with the President of the Personal Data Protection Office if you believe that the processing of your personal data violates the provisions of the GDPR.
XI. If personal data is entered into the registration form by someone other than the data subject (e.g. on their behalf), the person entering the data is obliged to provide the data subject with the information contained in this information clause.
XII. I confirm that I have read and acknowledge the above information, and I hereby give my consent to the processing of my image in accordance with the purposes set out in Section II by the entities indicated therein.
INFORMATION ON THE USE AND DISSEMINATION OF IMAGE
of participants in the scientific conference: “Gastronomy Unexplored: Integrating Science, Art and Culture in Culinary Innovation”, held on 2–3 September 2025 at VIZJA University, Okopowa 59, 01-043 Warsaw, Poland (hereinafter referred to as the “Conference”)
I. The Conference will be recorded and broadcast live online. Photographs and video materials will be taken during the course of the event.
II. The participant of the Conference (“Participant”) acknowledges that, by participating in the Conference, they thereby provide their freely given, informed, and unpaid consent to the recording and dissemination of their image and voice by the organisers of the Conference, namely: Andrzej Frycz Modrzewski Krakow University, VIZJA University, International Society for Gastronomic Sciences and Studies and the Polish Society of Food Technologists (hereinafter referred to as the “Organisers”), as recorded during the Conference.
III. The Participant’s image may be used, among others, in informational and promotional materials relating to the Organisers, as well as in press publications, without any territorial or time limitations.
IV. The Participant acknowledges that this consent includes, in particular:
– the use, recording, editing, processing, duplication, and creation of backups of video recordings and photographs containing their image;
– the public dissemination of video materials and the sharing of the photographs taken in press publications (e.g. newspapers, periodicals, occasional journals featuring information about the Organisers);
– the publication of photographs and video materials on the websites of the Organisers, as well as websites containing information about the Organisers in particular in the publication on educational platforms, news portals, social media platforms (including but not limited to Facebook, Instagram, Twitter, LinkedIn), and on any other websites where the Organisers publish photographic and video materials for public access, such as YouTube;
– the inclusion of such materials in the Organisers’ printed informational and promotional materials, as well as digital storage media (e.g. CD/DVD/USB), and publication in electronic form online on the Organisers’ websites.
V. The Participant acknowledges that video recordings and photographs containing their image may be shared with the partners or patrons of the Conference for the purpose of publishing such materials, e.g. on their websites or social media platforms.
VI. In the case of presenting or submitting a video recording, multimedia presentation, or any other materials in connection with participation in the Conference, the full and sole responsibility for any legal violations resulting from the content of such materials lies with the Participant who submitted or presented them.
VII. With regard to the materials referred to in point VI, the Participant declares that they are the author of the submitted materials, holds full rights to them, and that their use does not infringe the rights of third parties. The Participant also agrees to the use and publication of these materials by the Organisers in connection with the organisation and promotion of the Conference.
